Financial Aid Disbursement Process

What is Financial Aid Disbursement?

  • Disbursement of financial aid is the process in which financial aid awards (scholarships, grants, etc.) are released, posted to a student’s account, and applied to the appropriate charges on the students' accounts.

When Does Disbursement Begin?

  • The BCCC Financial Aid Office begins disbursing funds one day after the census date of each 16-week term. Students must meet the following criteria for their financial aid to be disbursed:

    • Be in good academic standing.
    • Be actively enrolled in and attending classes.
    • Meet fund-specific eligibility requirements.

    Once the above criteria are met, financial aid will be posted electronically to the student’s account. The BCCC Student Accounting Office will then apply financial aid to outstanding charges such as tuition, fees, and books.

Refund Process

  • After financial aid has been posted and applied to a student's account, any eligible credit balance will be refunded to the student by the BCCC Student Accounting Office within 14 days. Refunds are issued via check or direct deposit.

When Will I Receive My Financial Aid Disbursement?

  • Financial Aid disbursements begin one day after the census date of the 16-week term. The Financial Aid Office reviews student enrollment status and eligibility daily following the census date and disburses aid accordingly. If a refund is due after all charges have been paid, it will be issued within 14 days.

Census Dates for the 2024-2025 Award Year:

    • Fall 2024: September 13, 2024
    • Spring 2025: February 5, 2025
    • Summer 2025: June 14, 2025

How Often Will I Be Paid?

  • A student may receive multiple payments within any given 16-week term.

    • The initial disbursement occurs the day after the 16-week census date and is based on the number of classes “attended” as of that date, which determines the student’s enrollment status.
    • A student’s enrollment status is re-evaluated at the beginning of each subsequent module within the 16-week term. If the student’s status increases due to attending additional classes, an additional disbursement may occur.
      • Example: If a student is enrolled in twelve credits but is attending only six credits on the census date, the student will be considered half-time and receive a half-time payment. When the student begins attending the additional six credits, they will be re-evaluated for a full-time payment.

Things to Know About the Disbursement Process

    • The timing of disbursements depends on students meeting all conditions for receiving aid and confirming academic activity or attendance per term.
    • Not all financial aid awards are disbursed simultaneously.
    • If charges remain on a student's account after disbursements or if new charges are incurred after refunds, the student is responsible for paying the remaining balance.
